Making sure that all purchases have a purchase order, and are properly marked as to which department they should be charged to.
Arranging for efficient deliveries of parts and equipment to installers and technicians.
An installer or technician should go to a supply house only as a last resort. Work closely with dispatch and operations manager, make every possible effort to keep them on the job working and not picking up parts.
Replenishing truck stock, Do not have technicians or installers make unnecessary trips for stocking, but instead, plan it around their dispatch schedule.
Working with supply house on consignment inventory to make sure that the shop has all standard stock installation and service parts.
Processing all warranty parts and warranty labor credits quickly. Following through to make sure that the company receives the credit quickly.
Keeping warehouse area neat and clean.

A day in the life of an HVAC Project Manager
As the HVAC Project manager, you will manage all aspects of an HVAC project coordination to final installation. Your duties include, but not be limited to:
- Coordinating with Comfort Specialists on project details
- Scheduling, coordinating, planning, and managing the entire installation process with our Install Coordinator.
- Managing and working closely with technicians, making sure projects are completed on time
- Developing and maintaining strong relationships with technicians, customers, vendors, and distributors
- Maintain inventory levels as well as organize parts and supplies
- Order and negotiate pricing with vendors
- Managing multiple projects simultaneously, prioritizing tasks while maintaining strong attention to detail, accuracy, and quality.
- Assist in gathering material, labor, and other aspects as it relates to the project
- Coordinating with customers, vendors, distributors, and subcontractors to ensure quality, cost and timely delivery of equipment and services
- Monitor Technician performance and provide constructive feedback.

Job Summary:
The CSR/Dispatcher supports the day-to-day operations of the company by efficiently scheduling with customers and dispatching technicians to calls. This role requires the dispatcher to think critically to ensure they are dispatching the best fit technician for the call. MUST be able to multitask and work in a fast-paced environment but also be proactive on slow days. Other duties include Coordination of ordering of parts for jobs with our shop manager, successfully rescheduling jobs when part arrives, making management aware of any parts that need to be ordered, coordinating with other trades when needed, Social media postings, scheduling technicians 1:1’s with managers and reporting on various ends of the business.
Essential Duties and Responsibilities:
The essential functions include, but are not limited to the following:
- Answer inbound calls and schedule with customers.
- Dispatch all service calls to ensure maximum scheduling efficiency without compromising client satisfaction.
- Manage the dispatch board to keep field personnel on the move and generating revenue. Make every effort to compress call scheduling effectively and maximize productivity.
- Notify clients ahead of time without fail if the technician is not going to arrive at their home within the scheduled time window and re-scheduling the time at the client’s convenience.
- Share responsibility to ensure that all technicians arrive at their designated appointments On time.
- Debrief technicians after each call and insist that all employees collect payment immediately after each job is completed.
- Make “happy calls” to each customer after their appointment to ensure they are satisfied with our services.
- Work closely with our shop manager to ensure parts needed are ordered and working closely to reschedule jobs when parts arrive.

- Candidate needs to be able to work in office.
Minimum Qualifications:
- Experience in dispatching a crew is preferred
- High school diploma/GED required
- Self-starter, reliable, flexibility with hours
- Strong customer service skills

- Able to work both independently and as part of a team
- Strong knowledge of Microsoft Excel, Word and Powerpoint
- Must be a critical thinker – Strong English composition skills
- Telephone etiquette and working knowledge of email systems
